How to migrate your email - Mac Mail

You will already have your domain name with 1st Domains. And wanting to move your email from your previous host to 1st domains too? Want to know how to do it? Well read on and we will give you the low down on email migration.

These instructions will help you move your email messages from your existing email provider to your new email account using Apple Mail.

Before You Begin

Ensure you have:

  • Your old email account credentials
  • Your new email account credentials
  • A stable internet connection
  • Apple Mail installed on your Mac

Tips prior to migration.

  • Delete any old emails that are no longer required.
  • Delete empty folders.
  • Empty the trash, junk and spam folders.
  • Take a copy of your existing MX record. You can revert back to your old email hosting if something interrupts your set up. See here for instructions on how to edit the current MX record.

Recommended Process

1. Add Both Email Accounts to Apple Mail

  • Open Mail.
  • Select Mail > Add Account from the menu bar.
  • Add your existing email account if it is not already configured.
  • Repeat the process to add your new email account. Mac Mail will allow you to add the new email when using the new mail server settings
  • Wait for both accounts and folders to fully synchronize.

2. Create Any Required Folders

If you use custom folders, create matching folders in the new email account before copying mail.

  • Right-click the new account in the Mail sidebar.
  • Select New Mailbox.
  • Create any folders required.

3. Copy Email Messages

  • Select a folder from your old email account.
  • Select the messages you wish to move.
    • Press Command + A to select all messages.
  • Drag the selected messages to the corresponding folder in the new email account.
  • Wait for the copy process to complete.

For large mailboxes, migrate one folder at a time to avoid timeouts.

4. Verify Migration

  • Log in to your new email account using webmail or your preferred email application.
  • Confirm that all folders and messages have been copied successfully.
  • Check a sample of messages to ensure attachments are present.

5. Reconfigure Devices

Once you have confirmed all mail has been migrated:

  • Update your email settings on phones, tablets, and computers.
  • Remove the old account only after verifying all mail has been transferred.

Notes

  • Large mailboxes may take several hours or days to synchronize depending on internet speed.
  • Keep Apple Mail open until all folders finish uploading.
  • Do not delete the old email account until you have confirmed the migration is complete.

Once completed you are all good to go. We would recommend do a test email by sending to the email from another email address, such as a gmail account to make sure it is now receiving email on the new service.

Disclaimer: Mac Mail and other email clients evolve over time. Screens, menu options, and processes may vary depending on the software version in use. This guide is intended as a general reference and may not exactly match your installation.
